Meeting & Convention Planner
We seek a Meeting & Convention Planner to coordinate activities of staff and convention personnel to make arrangements for group meetings and conventions. The M&CP will promote conference, convention and trades show services by performing tasks such as meeting with professional and trade associations, and producing brochures and other publications. The M&CP will develop events and choose featured speakers. Monitor event activities in order to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise. Confer with staff at a chosen event site in order to coordinate details. The M&CP will review event bills for accuracy, and approve payment. The M&CP will plan and develop programs, agendas, budgets, and services according to customer requirements.
The M&CP will coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security, arrange the availability of audio-visual equipment, transportation, displays, and other event needs. The M&CP will inspect event facilities in order to ensure that they conform to customer requirements. It is imperative that the M&CP maintain records of event aspects, including financial details, conduct post-event evaluations in order to determine how future events could be improved. The M&CP will negotiate contracts with such service providers and suppliers as hotels, convention centers, and speakers.
The M&CP will meet with sponsors and organizing committees in order to plan scope and format of events, to establish and monitor budgets, and to review administrative procedures and event progress. The M&CP will direct administrative details such as financial operations, dissemination of promotional materials, and responses to inquiries.
The M&CP will also evaluate and select providers of services according to customer requirements, read trade publications, attend seminars, and consult with other meeting professionals in order to keep abreast of meeting management standards and trends. The M&CP will organize registration of event participants, design and implement efforts to publicize events and promote sponsorships.
Event Promotions Managers
We are seeking outstanding individuals with the following qualifications: undergraduate degree preferred, proven computer skills, knowledge and experience in marketing and promotions preferred. Responsibilities include: preparation of sponsorship agreements; production of marketing materials.
The EPMs should be interested in marketing, promoting and securing sponsorships for an array of events including conferences, professional programs and luncheons as well as charitable events.
The event schedule for 2010 is growing. Events range from networking events, professional conferences, conventions and luncheons to professional sports fundraisers, youth athletic camps, and celebrity golf tournaments. We need individuals that have the ability to make all of our events successful. These events will be taking place on a national scale.
While not excluding those individuals that have yet to establish a personal network, we are seeking experienced individuals that have established professional networks and industry connections.
